Minutes of Board Meeting – March 6th, 2011

Meeting was called to order by Eric DePoe at 7:30 pm.
Attendees: Eric DePoe, Laura Nagel, Gary Rasberry, Anna Szczepaniec.

1. Preparations for the March Break Extravaganza concert and Community Bake Sale.
Gary Rasberry advertised the event during the Sunday worship at the Riverside United Church. Press release has been send by Eric De Poe to the Napanee Beaver, Napanee Guide, Whig Standard and Kingston This Week. It was also advertised at Yarker website. Further advertising to be done through school bulletin and posters. GR provided posters. AS and LN organized volunteers to bake goodies for the Community Fund-raising Sale.
We need coffee, tea, lemonade. EDP to provide it.

2. Planned Earth Hour bonfire.
Event cancelled because most of the board members will be absent on March 26th.
3. Earth Day, April 23rd.
Edp to take care of the township bags and press-release.

4. Canada Day pancake breakfast.
AS to research if we can find another venue than Riverside United Church, because they charge $ 50 for each use of the Church basement.

Minutes of the YCDCA board meeting January 25th

Minutes of Board Meeting – January 25th, 2011

Meeting was called to order by Eric DePoe at 7:40 pm.
Attendees: Eric DePoe, Richard Ryde, Judy Ryde, Laura Nagel, Kelli Smith, Judy Skinner, Gary Rasberry, Anna Szczepaniec.
1. Playground equipment for Yarker Family School.
Judy Skinner presented the information she gathered on the possible improvements to the YFS playground. According to the School Board requirements, any equipment has to be installed by a licensed company, because of the insurance liability issues. Also they require the 10 % of the price to be put in their trust towards future repairs and maintenance connected to vandalism and other accidents not covered by the warranty. JS presented several examples of possible equipment, together with the price estimates. The cost of a basic, nice-looking set (monkey-bars with slides) adjusted to the number of children using it at the YFS playground would be between 34,000 and 46,000, including taxes and installation.
Possible sources of financing were discussed. The Yarker Athletic Association is willing to contribute 9,500. The Parents Council and the teachers from YFS would be able to provide up to 2,500. YCDCA may try to apply for up to 10,000 in the next run of PELA granting program (not confirmed if there will be next run). YCDCA and YFS to talk to the Township about possibility of getting some money from there. Remaining sum to be collected through fund-raising events.

YFS may try to apply for the Trillium Foundation grant. In this case they need to now before mid-February how much of the cost would be covered by the community.
2. Possible grants for cultural activities from Ontario Arts Council.
YCDCA to issue a letter of support for Andrzej Maciejewski's application to the Arts Education grant for the photographic program “One year in Yarker” (series of workshops in digital photography plus photographs of every-day Yarker life taken by Yarkerites plus exhibition and publication of the calendar). The program will be open to all residents of our area.
YCDCA to issue a letter of support for OSCA application to the Artist In Community grant for the music activity “Yarker Citizens Band” (series of music jam-sessions for amateurs, led by professional musician, plus creating songs about Yarker plus concert and CD's). The program will be open to all residents of our area.
AS to take care of the applications, Eric De Poe to prepare letters.

3. Gary Rasberry and Yarker Family School Students – concert.
Concert with Yarker Family School proposed by Gary Rasberry will take place on March 9th at the school and on March 13th in the Riverside United Church. The revenue from tickets to pay the participating musicians. YCDCA to help with advertisement and to organize a fund-raiser for the playground equipment on this occasion – bake-sale in the Church basement. AS and LN to organize volunteers to bake cakes.

4. Events.
4.a. Earth Hour bonfire, March 26th.
To obtain permissions from the Township and the Fire Department.

5. PELA grant
To order 5 benches and 2 planters and get invoices – RR.
Gary and Heather Kembel will design the bulletin board.
6 EDP and RR prepared a press-release about YCDCA.
